You can export survey data from either the survey list or from the survey Overview page.
Note: Before the survey contains response data, the Export survey data functionality is not relevant so is not available. Once the survey contains response data the option becomes available, and as exporting survey data is a more commonly used procedure than exporting survey definitions, on the Overview page this takes precedence over the Export Survey Definition functionality.
To export the survey data:
- In the Survey List, click the More options icon and select Export survey data from the drop-down menu, or in the survey's Overview page, click the Export button in the upper-right corner of the page and select Export Survey Data from the drop-down menu.
- Select whether you want to export production or test data (go to Testing and Previewing Overview for more information). Note that these options only become active after a successful survey launch, or generation of test data.
- Click in the File Type field to open a drop-down list of the export file types available, and select the type of file you want to export.
- Click into the Deliver By field to open a drop-down list of the delivery methods, and select the desired method.
- If data export templates are available for this survey, you can select a template.
- If you want to set up any advanced options (go to Export Advanced Options for more information), then toggle the selector on and make the settings as required.
- Filter the data for status and date and add conditions as necessary (go to Export Conditions for more information).
- When exporting to email or FTP you can schedule the export for some time in the future, then also set it up as a recurring export task. Set up a schedule as necessary.
- When you are ready, click Export to run the export task.
- Click the link to go to the file.
The Export survey data overlay opens.

The default delivery method is downloading to the browser, but here you can also select to send the data via email, via SFTP, or via External FTP. External FTP may be useful if the user has their own FTP servers; the data export can be set up as a recurring task, the user can specify a folder, host port identifier, user name and password.
You can create additional data export templates as required (go to Creating a New Export Template for more information).
A message is presented to inform you that the task is running, and on completion a link to the file is presented at the lower edge of your display screen. This file will adhere to the encryption settings for your company. Note however that if the Forsta site is set to Enforce HTTPS, then the file transfer is encrypted with https on browser download but the resulting file on the user’s computer will be unencrypted (the file is not encrypted with pgp in addition to https).
Note: It is not currently possible to view/manage the list of export tasks for a particular survey in Survey Designer. For this you must go to the Professional Authoring application.
